Facilities Manager - CHeltenham

🌟 Facilities Manager – Cheltenham


I am working with a growing law firm as they recruit for an experienced Facilities Manager to take ownership of the day-to-day running of their Cheltenham office. 


As Facilities Manager  you will be the go-to person for ensuring everything runs smoothly – from managing contractors and suppliers to keeping their office environment safe, welcoming, and efficient.


This is a hands-on, varied role where you’ll lead the Cheltenham Facilities team, liaise with our London-based Head of Facilities, and play a key part in firmwide projects that align with our values and commitment to excellence.


What you’ll be doing

🔧 Keeping things running – manage the Facilities Helpdesk, dealing with queries on heating, maintenance, access, and general building matters.
🤝 Being the connector – liaise with contractors, the Cheltenham Head of Office, and our wider Facilities team to ensure seamless service delivery.
📊 Reporting & planning – collate monthly reports, oversee meeting room setups, plan activities, and supervise out-of-hours works when needed.
💰 Budget oversight – monitor OPEX and CAPEX budgets, prepare forecasts, and ensure invoices are managed correctly.
📑 Contract management – take charge of M&E, cleaning, stationery, and landlord relationships, ensuring compliance with KPIs and SLAs.
🌍 Driving compliance & sustainability – ensure legal standards are met, contribute to our ISO 14001 certification, and support our sustainability goals.
📂 Data & documentation – keep systems like HighQ and iManage up to date, maintain spreadsheets on energy, waste, post, and bookings, and update Cheltenham’s intranet pages.
🎉 Event & project support – partner with Marketing Events and DE&I teams on Cheltenham events, support wider Facilities projects, and run evacuation drills alongside H&S.
👥 Leading your team – support and develop the Facilities Assistants and Reception team through regular 1:1s, performance management, and team catch-ups.


What we’re looking for


You’ll bring a blend of experience, organisation, and people skills that make you the perfect fit for this busy and rewarding role. Specifically:

  • Proven experience within a Facilities Helpdesk or similar environment.
     
  • Prior administrative experience in Facilities, ideally gained within a professional setting.
     
  • Confident with Microsoft Office packages and comfortable working with spreadsheets and reporting tools.
     

And just as importantly, you’ll be someone who is:

  • Highly motivated, with the ability to use your initiative.
     
  • Organised, methodical, and able to juggle competing priorities.
     
  • Great with people – offering excellent customer service and confident communication at all levels.
     
  • A flexible, positive team player with a proactive, can-do attitude.
     
  • Calm under pressure, with strong time management skills.

Legal Admin Assistant - Guildford

My client is an international  law firm who rank top tier for a number of their practice areas! 


They are known for their friendly working environment with offices based in the heart of the City!


This is an ideal role for someone who has completed  CILEX Legal secretarial course/ILSPA or equivalent and have 6 months admin experience and a real passion to become a Legal PA!


You will be working and supporting colleagues of all levels within a busy practice area including Partners and PA's and your role will see you completing all aspects of administrative tasks from managing databases, updating diaries on behalf of fee earners and assisting with travel and financial matters.


The firm are really collaborative and pride themselves on their excellent customer service for all including towards colleagues as well as external clients.


The firm do require a high attention to detail from their administration assistants as well as a positive and proactive work ethic. In return you will be supported with progression and career opportunities as you develop in the role that will see you develop into a legal PA!

Legal PA - 12 month Contract - Cheltenham

Legal PA

Litigation for an international law firm - initial 12 month contract

Are you an experienced legal PA or PA with professional services who is looking to work for a top 20 Uk law firm?

This is a rare opportunity to join the Cheltenham team in their fast paced and highly reputable Litigation team.

You will be using the latest legal technology and working with fee earners from trainee to Partner level assisting them with all aspects of admin support for their matters including:

  • project coordination
  • client relationship management
  • communication support including directly dealing with clients as well as managing emails and diaries for your fee earners
  • financial management including expense management and the billing process including support the WIP progress for fee earners
  • admin support including working with the admin team to delegate and monitor work

The office has a super working environment and operate a hybrid working policy of 3 days in the office and 2 working from home.

Experience of working as a legal PA or a PA from professional services is essential for this role.


£32k per annum plus benefits

The role will cover lots of organisational support including business development and matter support (e.g. billing)


The work is interesting and varied and includes but is not limited to:

  • Proactively supporting the team in providing exceptional service and experience to all clients, prospective clients and third parties.
  • Responsible for the administrative processes for the team and the compliance with firm-wide policies and processes.
  • Proactive diary management for the team.
  • Act as liaison between the team and the business support groups across the firm.
  • Ensure fee earner compliance with all relevant risk management requirements on file opening and closing, including records of conflict checking, anti-money laundering checks, client care letters/terms and conditions and large value retainers.
